A WP FloorMap site is already good at catching leads. A prospect messages a property, books a tour or joins a waitlist for a unit that is not available yet, and every one of those moments is captured, cleanly, on your own domain. But a lead that sits inside your website is only half a lead. The other half is getting it, instantly and reliably, into the place your leasing team actually works.
That is what Data Sync does. It is a new capability on WP FloorMap Launch and Studio that forwards every lead the moment it happens to wherever you want it: your CRM, a spreadsheet, a Slack channel, an automation tool or all of them at once. No copy-paste, no nightly export, no separate integration to buy.
What Data Sync actually does
Under the hood, WP FloorMap already records the four moments that matter most for leasing:
- A new message. Someone contacts a property through a form on your site.
- A tour booked. A prospect schedules a visit, with the date, time and unit.
- A tour cancelled. A booked visit is called off, so your CRM stays accurate.
- A waitlist signup. Someone raises their hand for a floor plan that is not available yet.
Data Sync takes each of those events and delivers it the second it is captured, carrying the prospect’s details along with the property and unit it belongs to. Every delivery is signed so the receiver can trust it, retried automatically if the far end is briefly down and written to a log you can inspect. It is the plumbing that turns a captured lead into a lead your team is already acting on, before the prospect has closed the tab.
Connect the tools you already run
The whole idea is to fit your stack rather than replace it. Data Sync ships with a few ways to connect, and you can use as many as you like:
- A signed webhook. Point Data Sync at any endpoint and it posts a clean, signed payload for each event. If your team has a developer or an internal tool, this is the most direct route.
- Zapier, Make or n8n. One-click presets guide you through grabbing a webhook URL from the tool you use, then let you fan a single lead out to Slack, Google Sheets, Salesforce and thousands of other apps.
- Email to your CRM. Most leasing CRMs accept leads at a parse-inbox address. Point an email destination there and each lead arrives, formatted for their parser, sent from a locked WP FloorMap address. It is the simplest way to reach a CRM with no developer and no API partnership.
You can send everything to one place or scope each destination precisely: only tour bookings to your scheduling tool, only messages for one property to that property’s manager, everything to your CRM. The routing is yours to shape.
No lock-in, no integration tax
Here is the contrarian part, and it is deliberate. The multifamily software world loves to sell integration as a product: a proprietary connector to one named system, gated behind a partnership, often carrying a per-system fee that lands on the operator. It is a tollbooth built on top of data you already own.
Data Sync takes the opposite stance. It speaks the open standards your other tools already speak: a signed webhook and a formatted email. That one decision quietly covers an enormous amount of ground. Because Entrata, Yardi and most CRMs accept leads at an email address, and because Zapier and Make already connect to nearly everything else, your leads reach the systems you care about without you waiting on a partnership that may never come. You own the connection, you can point it somewhere else tomorrow and nobody charges you a toll for the privilege of moving your own data.
An integration you control, built on the standards your tools already speak, beats a proprietary connector you rent. The best lock-in is none.
Built to be trusted
Leads are easy to lose in transit, so Data Sync is built to move them carefully. It runs from the same secure backend that powers WP FloorMap’s email delivery, not from the visitor’s browser, which keeps your credentials and your logic off the public page.
- Signed deliveries. Every webhook carries a signature your receiver can verify, so it can prove a payload genuinely came from your site and was not tampered with.
- Secrets encrypted, never in WordPress. Any key or token you provide is encrypted at rest on our side. It is never written into your WordPress database, where a site compromise could expose it.
- Your sending reputation protected. Lead emails go out only from a locked WP FloorMap address and are rate-limited, so the feature cannot be turned into a spam relay.
- Retries and a full log. If a destination is briefly unreachable, delivery is retried on a backoff schedule rather than dropped, and every attempt is recorded so you can see exactly what was sent and when.
Set it up in minutes
There is no project here. On Launch or Studio you open Data Sync, add a destination and either pick a tool from the presets or paste your own webhook URL or CRM inbox address. Choose which events it should receive and which properties it covers, send a test to confirm it lands and you are done. The next lead your site captures lands in your CRM within seconds.
The short version
- Every lead, instantly routed. Messages, tour bookings, cancellations and waitlist signups are forwarded as they happen.
- To wherever you work. A signed webhook, Zapier, Make, n8n or your CRM’s email inbox, in any combination.
- No lock-in, no integration fee. Open standards reach Entrata, Yardi and most CRMs without a proprietary partnership.
- Secure by design. Signed deliveries, encrypted secrets kept out of WordPress, a locked sending address and retries with a full log.
- Minutes to set up. Add a destination, choose your events, send a test, go live.
Data Sync is included on WP FloorMap Launch and Studio. It is the same philosophy that runs through the rest of the product: do the un-glamorous plumbing properly so a leasing team never has to think about it. If you want your leads flowing into the tools you already use, get in touch.
Frequently asked questions
Which CRMs does Data Sync work with?
Most of them, through two paths. Any CRM that accepts leads by email, which is nearly all of them, can take a formatted lead email straight from Data Sync at the parse-inbox address they already give you. Anything else you reach through a webhook, either directly or through Zapier, Make or n8n, which together connect to thousands of apps. You do not need a special partnership with your CRM for either path to work.
Do I need Zapier to use it?
No. Zapier, Make and n8n are there if you want them, because they let one lead fan out to Slack, a spreadsheet, a CRM and more at once. But you can also point Data Sync straight at your own webhook or your CRM’s lead inbox with nothing in between. The presets simply make the popular tools a guided, named setup instead of a raw URL to figure out.
Does Data Sync work with Entrata or Yardi?
Yes, through the paths above rather than a proprietary connector. Entrata accepts leads at a property-specific email address, so you point the email destination there and your leads arrive as guest cards. Yardi and most other systems accept lead emails the same way, arriving as new leads. You can also route through Zapier or Make, which already have Entrata and Yardi steps. This means you get the integration without waiting on a partnership deal or paying a per-system integration fee.
Is my lead data secure?
Security is the point of routing this server-side rather than from the browser. Every webhook is signed so your receiver can verify it genuinely came from us. Any secret you provide is encrypted at rest on our servers and never stored in WordPress. Lead emails are sent only from a locked WP FloorMap address, rate-limited to protect deliverability. Every delivery is retried on failure and written to a log you can inspect.
What events can I send?
The four moments that matter for leasing: a new contact message, a tour booked, a tour cancelled and a waitlist signup. Each one is delivered the instant it happens, carrying the prospect’s details and the property and unit it relates to. You can send every event to every destination or scope a destination to specific event types and specific properties.
Is Data Sync included in my plan?
Data Sync is included on WP FloorMap Launch and Studio. It runs from the same secure backend that already powers features like email delivery, so on those plans there is nothing extra to install: you add a destination, choose your events and you are live.
