2. Service Description

The Plugin provides an online scheduling system that allows visitors to request a property tour. The service includes:

• An interactive tour booking form with date and time slot selection.
• An automated confirmation email containing your booking details and confirmation code.
• Automated SMS (text message) reminders and notifications related to your scheduled tour.
• Calendar synchronisation with the property manager’s calendar (Google Calendar or Outlook Calendar).
• A booking cancellation mechanism using your confirmation code and email address.

3. Booking and Confirmation

• A booking is considered confirmed once you receive a confirmation email with a 6-character confirmation code.
• Confirmation is subject to real-time availability. If the requested time slot is no longer available at the moment of submission, you will be notified and asked to choose a different time.
• A confirmed booking constitutes an appointment request between you and the property, not a binding contract for a lease, purchase or any other agreement.

4. Cancellation

• You may cancel your booking at any time before the scheduled tour by using the cancellation feature and providing your confirmation code and email address.
• Cancelled bookings will be removed from the property manager’s calendar.
• We ask that you cancel at least 24 hours in advance as a courtesy to the property team.

5. Visitor Obligations

By submitting the booking form, you confirm that:

• The information you provide (name, email, phone number) is accurate and belongs to you.
• You are at least 16 years of age.
• You will not use the booking system for fraudulent, abusive or spam purposes.
• You understand the property may contact you via email, SMS or phone in relation to your scheduled visit.

6. Data Protection and Privacy

Your personal data is collected and processed in accordance with our Privacy Policy and the General Data Protection Regulation (GDPR/RGPD).

We collect your name, email and phone number solely to manage your tour booking. Your data may be shared with the calendar provider (Google or Microsoft) configured by the property, with SendGrid for email delivery, and with Twilio for SMS delivery. Your personal information will be used for no other purpose than sending correspondence concerning the single apartment tour you have scheduled. We do not use your data for marketing.

By submitting the form, you acknowledge that you have read and understood our Privacy Policy and consent to the processing of your personal data as described therein.

7. Communication Consent

By submitting the “Schedule a Tour” form, you consent to receiving the following communications solely in relation to the single apartment tour you have scheduled:

• A confirmation email with your booking details and confirmation code.
• SMS (text message) reminders and notifications about your scheduled tour.
• Emails or phone calls from the property management team regarding your visit.

Your personal information will be used for no other purpose than correspondence concerning this single tour. You will not be added to any marketing list, mailing list or other distribution list.

Opting Out of SMS Messages

You may opt out of receiving SMS messages at any time by replying STOP to any SMS message you receive from us. Once you reply STOP, you will no longer receive SMS notifications for your tour. You may also withdraw consent to all communications by cancelling your booking.

Standard messaging and data rates from your mobile carrier may apply to SMS messages.

8. Availability and Limitations

• The availability of tour time slots is determined by the property manager and may change at any time without notice.
• We make reasonable efforts to ensure the booking system is available and accurate, but we do not guarantee uninterrupted access or error-free operation.
• The property reserves the right to reschedule or cancel a tour due to unforeseen circumstances. In such cases, reasonable efforts will be made to notify you.

9. Intellectual Property

The Plugin, including all source code, design, logos, and documentation, is the intellectual property of Foreword Development and is protected by copyright law. Unauthorised reproduction, distribution or reverse-engineering of any part of the Plugin is strictly prohibited.

10. Limitation of Liability

• The Plugin provides an appointment scheduling tool only. We are not a party to any agreement between you and the property.
• Foreword Development shall not be liable for any direct, indirect, incidental or consequential damages arising from the use of the booking system, including but not limited to missed tours, scheduling errors or system downtime.
• Our total liability for any claim related to the service shall not exceed the amount paid for the Plugin licence by the property website operator.

11. Third-Party Services

The Plugin integrates with third-party services (Google Calendar, Microsoft Outlook, SendGrid, Twilio, SightMap). These services are governed by their own terms of service and privacy policies. We are not responsible for the actions, content or data practices of these third parties.

12. Modifications

We reserve the right to modify these Terms at any time. The “Last updated” date at the top of this page will reflect the most recent revision. Continued use of the booking system after changes are posted constitutes acceptance of the updated Terms.

13. Governing Law

These Terms are governed by and construed in accordance with the laws of the European Union and the applicable national law of the jurisdiction in which the data controller (the property website operator) is established. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the competent courts in that jurisdiction.

14. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
